Regulations for submission of congress abstracts for the 21st Congress of the Polish Society of Anaesthesiology and Intensive Care

§1 Introduction

(1) The Regulations specify the rules for submission, evaluation and acceptance of congress abstracts for the 21st Congress of the Polish Society of Anaesthesiology and Intensive Care (hereinafter referred to as the Congress).

(2) The aim of the Congress is to promote scientific research in the field of anaesthesiology and intensive care, perioperative medicine (including anaesthesia and intensive care nursing), pain medicine and cardiopulmonary resuscitation, the exchange of knowledge between specialists and the integration of the medical community.

§2 Submission of abstracts

(1) Abstracts may be submitted by individual investigators or research teams.

(2) Submission requires the abstract to be submitted by 31 May 2024 in electronic form via the Congress website.

§3 Requirements for abstracts

(1) Abstracts presenting research results and case reports will be accepted.

(2) Only abstracts prepared in accordance with the guidelines posted on the Congress website will be accepted.

(3) It is acceptable to prepare an abstract in Polish or English.

§4 Evaluation of abstracts

(1) Each submitted abstract will be assessed by at least two independent reviewers.

(2) the reviews will be anonymous.

(3) Evaluation will be based on novelty, relevance to the field, assessment of the methods used, clarity of presentation and consistency with the theme of the Congress.

§5 Acceptance of abstracts

(1) Authors will be informed of the results of the review no later than 31 July 2024.

(2) In justified cases, authors will be required to make corrections prior to acceptance of abstracts.

(3) Accepted abstracts will be presented in poster sessions.

(4) There is no appeal against the decision to accept or not to accept an abstract.

(5) Acceptance of an abstract for presentation is subject to payment of the congress registration fee. Qualified papers will be presented by the persons designated as first authors, who will be entitled to a reduced congress fee (amounts as per 30.04.2024 with respect to individual groups). The organisers do not cover travel or accommodation costs.

(6) Detailed guidelines for the preparation of posters will be provided to authors upon acceptance of abstracts.

(7) Each abstract will be discussed by the first author in front of the chairs of the respective poster session and scored by each chair on a scale of 0–10.

(8) The 10 abstracts with the highest scores will be presented at the Best Congress Abstracts session to be held on the last day of the Congress.

(9) The three best presentations during the Best Congress Abstracts session will be awarded. 

§6 Publication of abstracts 1.

(1) Abstracts presented at the Congress will be published in the supplement to the journal Anaesthesiology Intensive Therapy.

(2) Submission of an abstract is tantamount to granting permission for its publication.

§7 Final provisions

(1) The Organising Committee of the Congress has the right to resolve any doubts about the regulations.

(2) The organisers reserve the right to make changes to the regulations.

Formal Requirements for the Abstract

1 Thematic scope

The abstract must be on anaesthesiology and intensive care, perioperative medicine (including anaesthesia and intensive care nursing), pain medicine or cardiopulmonary resuscitation. 2.

2 Language

- Abstracts can be submitted in Polish or English.

- For abstracts in English, it is recommended to use either the UK or US language version.

3 Structure

The abstract should be divided into the following sections:

- Title: Short and concise, reflecting the main topic of the paper.

- Authors: Full names and affiliations of all authors. The person submitting the paper is a corresponding author.

- Introduction: Brief introduction to the research topic.

- Aim: A clearly defined aim of the research and, in the case of abstracts for research papers, the research hypothesis.

- Methods: Description of the methods used.

- Results: The main results of the research.

- Conclusions: Brief summary and conclusions of the study.

Do not include figures or tables in the abstract. You are encouraged to include figures and tables on the poster. The abstract should include three to five bibliographic references in Index Medicus/NLM format: (http://www.nlm.nih.gov/bsd/policy/cit_format.html)

4 Number of words

- Maximum abstract length: 250–300 words (not including title, authors' names, affiliations and bibliography).

5 Key words

Provide 3 to 5 keywords that best describe the topic of the abstract.

6 Submission

- The abstract should be submitted using the submission system available on the Congress website.

- Please ensure that all required fields in the submission form are filled in correctly.

7 Declaration

The correspondence author declares that all authors have read the abstract, accept its content and its presentation at the Congress. The correspondence author also confirms that he/she has obtained the co-authors' consents to provide their data to the Congress organisers.

In accordance with Article 13(1) and (2) of the General Data Protection Regulation of 27 April 2016 (hereinafter: RODO), we inform you that:

4. The recipients of the data may be entities necessary to ensure the correct operation of the service and entities of the Via Medica Group;

5. The personal data you provide will not be transferred to a third country;

6. Your personal data will be stored until you withdraw your consent to the processing of your personal data for marketing purposes and to present commercial offers or for the duration of the contract, and thereafter for the time necessary to comply with the legal obligations imposed on the Administrator or related to the performance of the contract;

7. You have the right of access to the content of your data and the right to rectification, erasure, restriction of processing, the right to data portability, the right to object, the right to withdraw consent at any time without affecting the lawfulness of the processing performed on the basis of consent before its withdrawal;

8. You have the right to lodge a complaint to the supervisory authority, i.e. the President of the Office for Personal Data Protection, if you consider that the processing of personal data concerning you violates the provisions of the RODO;

9. The provision of personal data by you is voluntary; however, failure to provide data will prevent the Data Controller from providing the specific services for which the personal data were to be collected;

10. Your data may be profiled on an individual basis, based on the data you have provided, in order to individually tailor the Administrator's offers and services;

11. Your personal data may be processed on the basis of consent. In this regard, you have the right to withdraw your consent to processing at any time. The withdrawal of consent shall not affect the lawfulness of the processing that was carried out on the basis of your consent before its withdrawal.
